Who we are

AJM Interactive Ltd (“AJM”, “we”, “us”) is a company registered in England and Wales, company number 17565262, with its registered office at 71–75 Shelton Street, Covent Garden, London WC2H 9JQ, United Kingdom. We make the Alula app and run this website at ajmi.app.

For anything in this policy, email tyler@ajmi.app.

In short

  • This website sets no cookies, runs no analytics and has no forms.
  • In Alula, your flight department (the operator) decides what is recorded and who sees it. We look after that data on the operator's behalf.
  • We never store passport numbers, nationality, ID or visa numbers, or their expiry dates.
  • We don't sell personal data, show advertising, or use data to build marketing profiles.

This website

The site is static: it doesn't use cookies, tracking pixels or analytics, and its fonts are served from our own domain rather than a third party.

The site is hosted by Cloudflare, which processes technical information such as your IP address and browser type to deliver pages and protect the site from attacks. We don't use this information to identify you.

If you email us, we use your name, email address and what you write to reply and to keep a record of the conversation. Our lawful basis is our legitimate interest in answering enquiries and, where you are a prospective customer, taking steps at your request before entering into a contract. Our email is hosted by Zoho.

The Alula app

Alula is used by business-jet flight departments (“operators”) and their crew to plan trips, look after passengers and file reports.

Who is responsible for what

  • The operator is the controller of the trip, crew and passenger information its people enter. It decides what to record and why, and it is responsible for having a lawful basis and telling passengers and crew how their data is used.
  • AJM is the processor of that information. We store and process it only to provide Alula to the operator, under a written data processing agreement, and on the operator's instructions.
  • AJM is the controller of the account and business details we need to run our relationship with the operator: names, work email addresses and roles of users, and billing contacts.

If you are a passenger or crew member, the operator you fly with is your first point of contact. We will help them respond to you.

What the app holds

AboutWhat may be recorded
PassengersName, title, date of birth (day and month; the year is optional), dietary needs, allergies, likes and dislikes, seating and service preferences, notes from crew, photo if added, and the date they gave consent.
Crew and staffName, role, work contact details, photo if added, and the trips they work.
TripsRoutes, dates, aircraft, who is on each leg, catering orders, post-flight reports, cabin issues and photos of the cabin.
ExpensesAmounts, currencies, receipt images and the crew member claiming.
SuppliersBusiness contact details for caterers and ground handlers.

Never stored: passport numbers, nationality, ID or visa numbers, or their expiry dates. Documents that leave the app, such as PDFs, show a date of birth as day and month only.

Alula contains no advertising and no third-party analytics or tracking tools.

Allergies and health

Allergies and some dietary needs can reveal information about health or religious belief, which UK GDPR treats as special category data. Alula records them so that crew can serve passengers safely. Alula includes a consent step for passengers and records when consent was given. The operator is responsible for obtaining that consent (or relying on another valid condition) and for passengers being able to withdraw it.

Service providers

We use a small number of providers to run Alula and this site. Each processes data only on our instructions and under a contract with data protection terms.

ProviderWhat for
SupabaseSecure cloud database and file storage for operators' Alula data, so it can sync between the operator's iPads. Data is hosted in the United Kingdom (London).
AnthropicReading an uploaded flight schedule to fill in a new trip, only when a crew member chooses to upload one. Anthropic does not use this data to train its models.
CloudflareHosting and protecting this website.
ZohoOur company email.
AppleDistributing the app through the App Store. Apple's own privacy policy applies to your Apple account.

International transfers

Some providers process data outside the UK, for example in the United States, Singapore or the European Economic Area. Where they do, we rely on UK adequacy regulations or on the UK International Data Transfer Agreement or Addendum, with additional safeguards where needed.

How long we keep data

  • Operator data in Alula is kept for as long as the operator uses Alula, and the operator can delete records at any time. When an operator stops using Alula, we delete its data within 90 days, unless the law requires us to keep it longer.
  • Emails to us are kept for up to two years after the conversation ends, or longer if they form part of a contract or legal record.
  • Business and billing records are kept for six years, as UK law requires.

Security

Data is encrypted in transit and at rest. Each operator's data is separated so that one operator can never see another's. Access within AJM is limited to the people who need it to provide support, and every access is for a specific reason. No system is perfectly secure; if we become aware of a breach affecting personal data we will tell the operator and, where required, the ICO without undue delay.

Your rights

Under UK data protection law you have the right to:

  • ask for a copy of your personal data;
  • ask us to correct or delete it;
  • ask us to restrict or stop using it, or object to how it's used;
  • receive it in a portable format;
  • withdraw consent at any time, where we rely on consent.

For data held in Alula, please contact the operator you fly with or work for, or email us and we will pass your request on and help them respond. We reply within one month.

If you are unhappy with how your data is handled, you can complain to the Information Commissioner's Office at ico.org.uk or on 0303 123 1113. We'd appreciate the chance to put things right first.

Children

Alula and this website are for adults working in aviation. Operators may record details of passengers under 18 who travel with them, such as dietary needs and allergies. In that case the operator is responsible for having the permission of a parent or guardian.

Changes and contact

We will update this policy as Alula develops, for example when accounts and syncing launch. The date at the top shows when it last changed. Significant changes will be communicated to operators before they take effect.
